itsthesheet User Guide
Everything you need to turn your Yellow Sheet and Green Sheet data into a mapped Atlas, contact batches, optimized field routes, and exports.
1 · Getting started
itsthesheet runs as a single app file in your web browser. After you sign in and download it from your dashboard, open the app and you'll see six tabs across the top:

2 · Account & download
- Go to itsthesheet.ca and click Start free trial. Enter your email, a password, and pick a plan. No credit card is required for the 30-day trial.
- Check your inbox for a “Verify your itsthesheet account” email and click Verify my email. This starts your 30-day trial and opens your dashboard.
- On the dashboard, click Download the app to get the app ZIP. Unzip it and open
itsthesheet.htmlin your browser. - Copy your app token from the dashboard, open the app's Settings tab, paste it into Subscription Token, and click Validate Token.
3 · Import your spreadsheet & geocoding
Loading files
- On the Atlas tab, click the file picker and choose one or more
.xls,.xlsx, or.csvfiles. You can select multiple files, or click again later to add more. - Click Load Files. Your rows are parsed and column headers are auto-detected (for example “Site Address” becomes Project Address, “City” becomes Region).
- Records with coordinates plot immediately on the map. Use Refresh Map to re-plot, or Clear to start over.
How geocoding works
You don't run geocoding manually. Any row that doesn't already have latitude/longitude is geocoded automatically the moment you send rows to the Routing tool. Rows that already have coordinates are used as-is, and results are cached so repeat runs are fast.
4 · Routing, optimized multi-day routes
Send stops to Routing
- Go to Table + Export, filter as needed, and tick the rows you want (or use Select Visible).
- Click Send Selected To Routing Tool. Any rows missing coordinates are geocoded automatically, then handed to the Routing tab.
- Open the Routing tab to set up the trip.

Run it
- Click ▶ Run routing. The progress stepper moves through Data validation → Matrix calculation → Route optimization → Map generation.
- When it finishes, review the results panel: 🗺️ Trip map (interactive map of all days) and 📋 Summary (itinerary, distance, time). Use ✕ Back to planning to adjust and re-run.
- Click ⬇ Download route ZIP to save the field-ready package.

5 · Email Builder
The Email Builder pulls every unique email and cell number out of your loaded sheet, then generates a batch of personalized email drafts you can send.
- Open the Email Builder tab. Choose a scope, All uploaded rows or Selected map/table rows, and narrow with the search box and the Contact Type (All / Emails / Cells), Contact Header, and sort options.
- Click Select Filtered Emails to select everyone matching your filters (or Clear Selection to reset).
- Fill in the Batch Email Template:
- Batch Name, names the output ZIP (e.g. “Batch 1”).
- Subject, the email subject line.
- Message Body, your message. Use merge tokens that fill in per contact.
- Signature, your sign-off.
- Click Create Email Batch, review the Draft Preview, then Download Batch .zip.

The download is a ZIP of individual .eml draft files, one per contact. Open any of them in your email client to review and send.

8 · Troubleshooting
- My records didn't plot on the map.
- Make sure your sheet has an address column, then click Refresh Map. Rows without coordinates plot once they're geocoded (when you send them to Routing).
- “Run routing” is greyed out.
- You need at least one geocoded stop and a Trip START address (plus a Trip END unless you're in out-and-back mode).
- My route is too long / won't fit.
- Raise Max days or Max hours per day, lower service minutes, or split into batches. Remember the limits: 250 stops and 5 days per route.
- Ferry trips look too short.
- Set Estimated ferry wait time to add terminal queue time on crossings.
- The app says my subscription is inactive.
- Open Settings, re-paste your token from the dashboard, and click Validate Token. If your trial ended, add a card on the dashboard.
